Invite a member and choose their role

This article explains how to manage a site’s members, the people who work together in its Staging, each with a role. You will be able to invite a member, choose their role, give them the right to publish and remove them.

Before you start

  • On the site’s card in the Dashboard, the Members button only appears to the site’s administrators.
  • Each member has their own Lovely Render account. A person can create their account on their own, but they have no access to any site until an administrator has invited them.
  • The Lovely Render team invites you to the site it opens for you. You accept its invitation as described in the Accept an invitation section.

Invite a member

  1. In the Dashboard, click Members at the bottom of the site’s card. The Site members panel opens on the side.
  2. Under Invite a member, enter the person’s Email.
  3. Choose their Role.
  4. For an administrator who must put the site online, turn on Can publish. Only a site owner can turn it on. For another administrator, the box is grayed out and the invitation goes out without this right.
  5. Click Send invitation. The message Invitation sent. appears and the invitation joins the Pending invitations.
The Site members panel of Atelier Sauge: Claire Roussel, an administrator who can publish, then two editors with their role list, their Can publish box and their Remove button. Below, a pending invitation as Contributor with its Resend and Cancel buttons, then the Invite a member form.

The person receives the email Invitation to join followed by the site’s name. The invitation stays valid for seven days.

If the address is already a member of the site, the panel shows The invitation could not be created. The email address may already be a member of this site. Change their role in the member list instead.

Accept an invitation

This section is for the invited person.

  1. In the invitation email, click Create your account. If you already have an account, the button is called View the invitation.
  2. Create your account or log in with the address that received the invitation.
  3. On your Dashboard, under Pending invitations, click Accept. The message Invitation accepted! appears and the site’s card shows up.
The dashboard of an invited person: under Pending invitations, the Atelier Sauge site, the Editor role, the expiry date and the Accept and Decline buttons. Below, the message You don’t have an active site yet.

Decline removes the invitation from your dashboard. As long as you have not accepted any invitation, the Dashboard shows You don’t have an active site yet.

Manage pending invitations

The Pending invitations table in the panel gives, for each invitation, the Email, the Role, the person who invited and the expiry date.

The actions of a pending invitation
ButtonEffect
ResendSends the email again and gives the invitation seven more days of validity. The message Invitation resent. appears.
CancelRemoves the invitation. Its link no longer works. The message Invitation canceled. appears.

An address has only one pending invitation per site. Inviting the same address again replaces the previous invitation.

An expired invitation no longer works and disappears from the invited person’s dashboard. In the panel, its expiry date becomes Expired: Resend gives it seven more days.

Choose a member’s role

The role sets what a member can do in the Staging. Roles go from the broadest to the most restricted.

A member’s roles
RoleRights
AdministratorManage everything on the site: content, design, settings, members, DNS records and history. With Can publish, publish and restore the site.
EditorCreate, edit and publish all content in the Staging.
AuthorCreate, edit and publish their own content in the Staging.
ContributorWrite content without publishing it. An editor or an administrator publishes it.
SubscriberMinimal access that does not allow changing anything.

Publishing a piece of content makes it visible in the Staging. It goes online at the site’s next publication.

Design is reserved for administrators, because it changes pages the person has not opened. An editor, an author or a contributor applies the registered styles and chooses the design system variables that exist. They do not see the buttons that create or edit them, nor the Advanced CSS panel, nor the Appearance menu.

The Lovely Render team members who work on your site do not appear in the panel. Their actions show under their name in your site’s history.

To change a member’s role, choose the new role in their Role column of the Site members panel. The message Member saved. appears. Only a site owner can change a role. For another administrator, the Role column is grayed out and its tooltip shows Only a site owner can change a member’s role or their right to publish.

The change applies right away to the member and to the AIs they have connected to the site.

Give the right to publish

Publishing or restoring the site requires both the Administrator role and the Can publish box. An administrator without this box keeps control of the content and the design, but does not put the site online.

Only a site owner gives or removes this right. To give it, check Can publish on the member’s row in the Site members panel. The message Member saved. appears.

An administrator who is not an owner sees the Can publish box grayed out on every row, their own included. They can open the site’s publish screen and read the changes there. The screen shows them at the top Your account does not have the right to publish this site. A site owner can give it to you with the Members button on your Lovely Render dashboard.

The box exists on every row, but it gives nothing to a member who is not an administrator.

Remove a member

  1. In the Site members panel, click Remove at the end of the member’s row.
  2. At the question Are you sure?, click Yes. The message Member removed. appears.

The member and the AIs they had connected to the site lose access right away. The content they wrote stays in place and keeps their name.

Recognize the owners

An owner is an administrator whom the Lovely Render team designated when opening the site or at your request. Owners are the only ones who can take your site with you in full. Each one is notified by email when another owner exports the site and when a member exports a form’s requests.

In the panel, an owner’s row has no role list, no box and no Remove button. An administrator can neither remove an owner nor change their role. To change owners, write to us.

Know what a member entrusts to an AI

A member never gives an AI more rights than their own role. The authorization screen only offers them the rights of their role on the site.

The rights a role can entrust to an AI
RoleRights offered
ContributorRead content, create and edit content and browse the media library.
AuthorThose of the contributor, plus publishing a piece of content and uploading media.
EditorThose of the author, plus moving content to the trash, reading the design system and reading analytics.
AdministratorThose of the editor, plus editing the design system, editing the site’s structure and reading the site’s history. With Can publish, deploying the site to production.
SubscriberNone. The site does not appear on the authorization screen.

Connect your AI details each right.
